The Ultimate Event Company organises unique and original events in all parts of the world and have an enormous amount of knowledge, experience and contacts to ensure a successful outcome to your event.
Event Team
For your event, The Ultimate Event Company will provide a dedicated Event Manager to manage all aspects of logistics from pre-event planning to post event evaluation. Throughout the pre-event planning process, all meetings will be supported by detailed contact reports, action plans and production schedules. The Ultimate Event Company will, of course, provide you with regular budgetary updates.
The total number of delegates, their profile, the complexity and requirements of each programme will determine the number of staff provided on site.
The following section details all the areas that our event management covers. However, our remit also covers whatever it takes to get the job done and create a successful, bespoke event.
Critical Path
In order to ensure each element of the event is completed in time, it is advisable to create a critical path working backwards from the event containing all deadlines, start and cut off points.
Venue / Supplier Liaison
We manage and liaise with the venue and all suppliers both in the UK and overseas to ensure that they are all properly briefed, ensuring all your requirements are met and that they know exactly what is excepted of them and when. In some cases we could be handling upward to 30 different suppliers on an individual event on your behalf.
We work regularly with chosen suppliers to ensure the best quality and that our high standards are maintained by companies sub-contracted to us.
Logistics
We handle all the logistics of the event in all our supplier liaison, covering access time and transportation as well as managing the guests’ travel, accommodation and so on.
Event Summary
Each event is summarised in an all encompassing document which gives you, us, the venue and all our suppliers all the details needed to ensure the success of the event and that nothing slips through the net. This is produced as early as possible in the pre event management so that the client and suppliers can agree it and add to it as the preparation for the event goes forward.
Financial Management
It is essential to keep tight control of costs at all times and, as part of our service we will produce a costing sheet showing anticipated and actual costs so that you feel in control of the budget at all times. All costs will be agreed before confirmation and we will also highlight any delivery or courier costs to you.
As part of this role, we will negotiate with each supplier to get the best service for the best price. We work regularly with chosen suppliers to ensure competitive rates.
Health and Safety
The safety of guests and staff is paramount and we follow detailed procedures to ensure that all health and safety risks are managed. All accidents are recorded and event staff follow detailed procedures in recording incidents and actions.
On the Event Management
The Ultimate Event Company always provides experienced proactive event staff on site to ensure that your event runs smoothly and that all client and guest requirements are dealt with quickly and efficiently.
Our role on the event will be to ensure that everything that has been agreed happens according to plan as well as to deal with any last minutes changes. This allows you to concentrate on your guests and enjoy yourselF.
Post Event Management
After the event The Ultimate Event Company’s work continues by providing the following:
- Full client debrief, reviewing the event and making recommendations for the future
- Post event research
- Audit and reconciliation of bills and preparations of final budgets
